What information do we collect and How do we use it?
- New Member Registration
We collect information concerning each website that elects to receive a quote or become a member. The first step of the quotation process asks for the domain name. We follow this up with a background name-server look-up for the domain which normally returns publicly available information concerning the domain owner. Our system parses this information and collects the person's name, address, phone number, company name, website, domain, founded date, and approximate number of daily visitors. We also keep a copy of the actual name-server look-up which may be used as a guide to help correct errors in data parsing.
If an on-line payment is made, we collect the payment amount, transaction number, and date of payment. This is provided to us by our credit card processor. To view their privacy statement, click HERE. This information is used to reconcile account fees and provide a "paper trail" for audit purposes.
Data collected from this form will be either removed daily in the case of a quote but no registration, or six months after a cancelled or revoked membership. Backups are not performed on the quotation.
- Submitting a Complaint
Our process collects the URL of the website under investigation, type of violation reported, several questions regarding contacting the website owner (yes/no questions), explanation (text) of complaint, resolution type (text), contact information (name and e-mail), and a question asking if we can disclose your name if necessary. We keep all investigations private. If the person making the complaint offers to disclose their name, we will only do so if absolutely necessary. Under no circumstances will a person's name or e-mail be disclosed without their prior authorization.
Complaint forms are kept in our database for one-year. Backups are held indefinitely.
We use a web-based form to provide a method of communication between the on-line community and our helpdesk. Information derived from these forms may be used in future FAQ pages or for training purposes. We will not disclose the name or e-mail address of the sender under any circumstance, nor are these fields required. Feedback forms may be removed at any time, backups are held indefinitely.

- Third-Party Advertisements & Enhancements
Occasionally we invite advertisers to display their banners on our site. When -- and if -- an advertiser requires personal information such as your IP address it will be explained here. Currently, we do not host banners that collect information.
We employ a simple stats database that collects information automatically provided by your web browser. It keeps a general log containing the date/time, IP address, and referring web-page for selected pages on our site. These pages contain a small blue dot that indicates we have collected this "publicly available" information. The information is used to help us determine if problems exist in navigation and to get an idea of where people are being referred from. Each entry is automatically removed after six months. There is no backup performed on this database.
- Login Page
Members of siteGuardian must type their user name and password to gain access to our site. This information is automatically removed when the user logs off, or after thirty minutes of inactivity. No backups are available for this form.
- Financial Information
Unless previously stated, we do not collect financial information from our customers. siteGuardian has employed PayPal to manage all forms of on-line payment. To obtain additional information on their practices, click HERE.
- IP Addresses
We use IP Addresses for statistical and system administration purposes. IP addresses are anonymously logged to track a users session. As a rule, we do not link IP addresses with any personally identifiable information. We can, however, use IP addresses to identify malicious users or to protect our site.
It is a requirement for membership that we refrain from the practice of sending unsolicited bulk mail. People who provide us with their e-mail address can rest assured that we will not distribute their address to any third-party source without first obtaining permission to do so. siteGuardian may send targeted mail for the purposes of site awareness. Any such mail will include a simple opt-out link that will remove an e-mail address from future mailings.
Who do we share information with
siteGuardian will not disclose, sell, share, trade, or rent your personal information to anyone unless you specifically give us your consent, or if required by law. We may, however, disclose information anonymously when it is necessary to process a complaint AND we are not permitted to use an actual name.
We are unable to control the activities of our advertisers or commerce partner. Questions pertaining to these policies should be handled on their specific web-site.
Our Commitment to Data Security
To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, we have put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect on-line.
Data is secured through the services of Lotus Notes Domino which complies with strict government security schemes.

How to Access your Information
Any member organization may access their personal information on-line. Additional changes can be made by sending an e-mail or postal mail to the addresses at the bottom of this statement. Information pertaining to complaint changes must be submitted in writing.
To protect your privacy and security, we will take reasonable steps to verify your identity before granting access or making changes or corrections to any of your personally identifiable information.
Our Commerce Policy
On-line payments are handled exclusively through PayPal. We receive an email response from PayPal when a purchase is made. Each document contains the users' name and e-mail, payment amount, unique ID, and item ID. This information is kept on-line for a period of six months. Backups are held indefinitely. Notification of Changes
If our policy changes concerning the collection and/or distribution of your personal information we will notify you via e-mail and offer the choice to update or remove your personal information. Policy changes will not go into effect until thirty days after notifications were sent.
